Back Office Executive Job Description The back office executive is the manager in charge of managing the back office of a company. The back office is the part of the company that manages the company’s accounting processes. This manager is responsible for overseeing the accounting department’s operations. The back office executive reports directly to the Chief Financial Officer, or CFO. Sometimes, the operations manager of an accounting department will report to the back office executive. Job Brief: We’re looking for a Back Office Executive to join our team. The Back Office Executive will be responsible for a variety of administrative tasks, including supporting our sales team, managing our customer database, and preparing reports. If you are a motivated self-starter with excellent organizational skills, we want to hear from you! Back Office Executive Duties: Oversee all payroll and human resource activities for an organization Supervise accounting and finance activities, including preparing financial reports, allocating funds, and overseeing payables and receivables Manage bookkeeping, accounts payable, and accounts receivable Manage administrative activities, such as organizing meetings and meetings scheduling Manage other administrative functions, such as scheduling travel, arranging appointments, and handling mail Complete various administrative tasks, such as report writing, filing, compiling data, and maintaining records Maintain records, such as correspondence, meeting minutes, and reports Develop and implement systems, procedures, and policies Develop reports, statistics, and presentations Approve expenditures, loans, and grants Control costs Back Office Executive Responsibilities: Enhance overall customer experience by coordinating and following up with internal and external customers, tracking customer order history, and resolving concerns Assist in scheduling, analyzing, and updating project estimates Assist with sales forecasting, sales lead generation, sales proposals, and contract negotiation Conduct market research and contact potential customers Research and analyze competitor offerings Develop and maintain customer service standards, policies, and procedures Manage a comprehensive CRM database for organization-wide communication Track sales goals and results Maintain and update project timelines Implement and prioritize company policies and procedures Conduct weekly meetings to review metrics, report accomplishments, and set goals for the week Maintain and update project documents and files Maintain and update proposal and bid documents Review and update project estimates Perform any other job duties as assigned
